PAIA Manual

This manual is published in terms of Section 51 of the Promotion of Access to Information Act (PAIA), and it sets out how any person may request access to records held by VirtuBiz Hub.

3. Records Held
We hold records such as:

• Client contact details

• Invoices & service agreements

• Compliance & admin documents

• Employee or contractor details (if applicable)
  
  

4. Request Procedure
To request access to a record:

• Email us with subject line: "PAIA Access Request"

• State what record you need and why

• Include a certified copy of your ID
  
  

Requests will be acknowledged within 7 working days and processed within 30 days, unless an extension is needed.

5. Fees
We charge a small admin fee (R50) if your request is approved and record access is granted. You’ll be notified in advance.

6. Grounds for Refusal
We may refuse access if it would:

• Violate someone else's privacy

• Contain confidential third-party info

• Be legally protected from disclosure

7. Protection of Personal Information

VirtuBiz Hub implements reasonable technical and organisational measures to protect personal information against loss, misuse, unauthorised access, disclosure, alteration, or destruction.

These include:

• Password-protected systems

• Restricted access to data

• Secure cloud storage platforms

• Limited internal access on a need-to-know basis

8. Use of Third-Party Service Providers

VirtuBiz Hub may use third-party platforms such as email services, cloud storage providers, and business tools to process personal information.

We take reasonable steps to ensure that such providers comply with POPIA-aligned data protection standards.

9. Cross-Border Data Transfers

Some personal information may be stored or processed using international service providers (e.g. cloud-based tools). Where this occurs, reasonable safeguards are applied to ensure data is protected in line with POPIA requirements.

10. Identity Verification 

Identity of requesters will be verified before any personal information is disclosed, accessed, corrected, or deleted.

11. Automatic Records Available Without Request

The following information may be freely available without submitting a formal PAIA request:

• Business contact details

• Public service descriptions

• Website content

• General company information
